Recoveries > Case Manager

The Case Manager is the gearbox of the DebtCol system for collectors. It is the place where a collector can build work queues, search debtors, send letters, litigate, SMS the debtor, record arrangements, record notes, send emails, attach documents, amend debtor details and much much more.

My Lists Page

This is where you go to build lists of debts so they can be processed sequentially.

This is where you can build a query to locate a debt or list of debts by filling out any of the search options.

Searching in general

You can search by a specific field of data or a combination of criteria fields. All data entered into any of the search fields will become part of the search criteria; including data entered in the Advanced Search Tab.

Once you have specified your search criteria simply click the “Search” button on the Action Bar. A list of options will appear in a table like in the diagram below.

Scroll through your list of options using the arrow buttons at the bottom of the table.

You can sort the results by the data in any column simply by clicking the column label once for ascending and again for descending.

Having located your debtor, click the hyperlink number in the Case column and you will be taken into the Case Details screen for that debt.

Once you are in the Case Details page, you can use the “Next” and “Previous” buttons to move through the list.

Also in the Case Details page, you will be shown where you are in the list as per the diagram below.

Clear search criteria

To clear the search fields and start a new search, click the button labeled “Cancel”.

Search by Open, Closed or All debts

If you are looking for debts that are currently open, click the circle labeled “open”.

If you are looking for debts that are closed, click the circle labeled “closed”.

If you are unsure if the debt you are seeking is open or closed, or if you simply wish to view all debts regardless of their closed status, you may click the circle labeled “All Debts”.

Search by Client

Enter the client code in the field labeled “Client Code”. To locate client codes, click the search button on the toolbar.

Search by reference

Enter the data you wish to search on in the text box then select the type of reference from the drop-down list.

Search by debtor

Enter any part of any phone number relating to the debtor into the “Any phone” field.

Enter any part of any name relating to the debtor into the “Any Name” field.

Enter any part of any address relating to the debtor into the “Any Address” field.

Search by cases outsourced to an agent

If you are looking to find a list of debts outsourced to a specific agent, select the agent from the drop-down list labeled “Cases outsourced to Agent”.

Search by solicitor representing debtor

If you are looking to find a list of debts being represented by a specific solicitor, select the solicitor from the drop-down list labeled “Solicitor Representing Debtor”.

Search by cases with Sheriff

If you are looking to find a list of debts with a specific Sheriff, select the Sheriff from the drop-down list labeled “Cases with Sheriff”.

Search by cases with Administrator/Liquidator

If you are looking to find a list of debts with a specific liquidator/administrator, select the Liquidator from the drop-down list labeled “Cases with Administrator/Liquidator”.

Search by next due date

 

If you are looking to locate debts due on a specific date, or range of dates, enter the date into the field labeled “Next Due” and stipulate whether greater than or equal to “>=” or less than or equal to “<=”.

Search by Date Accepted

 
 

If you are looking to locate debts that were accepted (loaded into the system) on a specific date, enter this date into the field labeled “Date Accepted”.

Tick the box labelled "Legal" to filter by legal cases only.

Search by Balance Due

If you are looking to locate debts with or around a specific balance due, enter the amount into the field labeled “Balance Due” and stipulate whether greater than or equal to “>=” or less than or equal to “<=”.

Search by Status

If you are looking to find of list of debts for a specific status, select the status from the drop-down list labeled “Status”.

 

Search by Overriding Case Status

DebtCol Action Wizards should include a change in status for ease of reporting. In some cases it may be necessary to have two layers of status, one that changes regularly for each step taken and an overriding status which is more broad. If you are looking to find of list of cases for a specific overriding case status, select the status from the drop-down list labeled “Status”.

Search by Operator

If you are looking to find of list of debts for a specific operator, select the operator from the drop-down list labeled “Operator”.

Search by Collector

If you are looking to find of list of debts for a specific collector, select the collector from the drop-down list labeled “Collector”.

Search by Client Group

If you are looking to find of list of debts for a specific client group, select the group from the drop-down list labeled “Client Group”.

Search by Job Type

If you are looking to find a list of debts for a specific job type, select the type from the drop-down list labeled “Job Type”.

Search by Plaintiff

If you are looking to find a list of matters for a specific Plaintiff, select the Plaintiff from the drop-down list labeled “Plaintiff”

 

My Queues

Select your queue from the list then click the button labeled “Build Queue” on the Action Bar. A list of options will appear in a table like in the diagram below.
